Conveyancing Assistant - Cheshire

Key Responsibilities:
  • Provide a professional property management service to our customers as the first point of contact, in relation to all enquiries about the sale or re mortgage of their property.
  • Log all enquiries from customers within our property management systems, responding appropriately via numerous communication methods including email, telephone, fax or letter in line with the company service level agreements.
  • Raise appropriate fee requests and requests for authorisation to disclose information in line with Data Protection legislation. Update the database with charges upon receipt of payment.
  • Processing payments for services provided over the phone utilising Sagepay terminal.
  • Review leases in order to identify the requirement for post-completion documents such as Certificate of Compliance, Licence to Assign, and Deed of Covenant.
  • Produce and review standardised responses to ensure that they are complete and accurate, liaising with our Maintenance and Major Works Departments where necessary.
  • Respond in a professional manner to any additional enquiries that may be received via telephone, email, fax, or letter.
  • Process Notice of Transfer upon receipt, updating the database with the new owners’ details, producing and distributing correspondence and welcome guides to the new owner.
  • Maintain workflow of open cases, chasing outstanding post-completion documents and
  • the production thereof once fees have been received.
  • Liaise with our clients’ and their legal department on more complex matters that need to be resolved.
Other ad-hoc duties
  • Assist the Operations Manager or Director with any escalated complaints, providing evidence of how matters were handled in order responses can be issued effectively.
  • Assist the Maintenance Office with lease interpretations in respect of our client’s maintenance obligations to ensure costs incurred are recoverable under the terms of the liaise.
  • Provide administrative support to the office including the processing of post received and to be sent and answering the phone to general enquiries.
  • Any other duties that may reasonably be requested by the Finance Manager, Director or the Shareholders.
Minimum Requirements
  • Education to GCSE Level or equivalent
  • The ability to prioritize tasks and work under pressure
  • Good IT skills with experience using Microsoft Office packages, with good email etiquette
Desirable Requirements
  • Industry related qualifications such as IRPM / RICS / IOSH
  • Experience with property management package, Qube
  • Experience with reading and interpreting residential leases

Salary Range & Benefits
 
This position is paying a competitive salary of £20,000 - £28,000 depending on experience.
