Estate Manager (Exclusive Vacancy) - Central London

£45,000 - £55,000 - On-Site Management

Located in the heart of Chelsea, an exceptional, high-end development requires a General Manager to oversee the successful, efficient running of the estate. Situated in beautifully maintained communal gardens, the estate comprises of a leisure centre, underground parking and 24-hour porterage.
 
The General Manager’s role is to manage and maintain the estate and its employees, coordinating the day-to-day operations, ensuring that all services and activities are carried out efficiently, meeting the standards and requirements of the board.

Duties of the General Manager:
 
Site Management and Presentation:
  • Provide a regular, punctual and reliable personal presence in the Porters Lodge, that is accessible to residents, contractors and staff
  • Responsible for the presentation and safety of all public areas
  • Complete daily site walks, actioning any issues as necessary
  • Conduct weekly site reports, to include repairs and maintenance issues
  • Ensure standards of cleanliness and tidiness of the concierge area at all times, to include all fixtures, furnishings and perishable items
  • Report, record and track all defects in liaison with maintenance team
  • Maintain communal message boards to include removal of unauthorised items
  • Ensure upkeep, maintenance and presentation of communal gardens, pond, leisure centre and car park
  • Take personal responsibility for sustainable initiatives across the estate and to promote sustainability initiatives as directed by the board
  • Remaining on call for emergency situations
 
Staff Management:
  • Manage, support and develop onsite employees, leading by example
  • Arrange staff rotas, book holiday and sickness cover in liaison with team
  • Monitor and review site procedures to ensure understanding and compliance
  • Delegate and assign tasks across all site functions as appropriate
 
Resident and Client Liaison:
  • Establish courteous and professional relationships with the board, residents, staff and contractors
  • Building a long-term trusting rapport with all parties
  • Work alongside the managing agent providing information when requested
  • Assist residents, guests and visitors with any reasonable request
  • Ensure that daily telephone, email and written queries from residents, clients and contractors receive timely and appropriate responses
  • Attend Residents and Directors meetings when required, taking notes as required
  • Introducing surgery hours, to aid good time management whilst also remaining accessible to the residents
 
Health and Safety:
  • To maintain full compliance with Health and Safety policy and guidelines
  • Follow procedures, guidelines and best practice for Health and Safety in relation to compliance
  • Ensure safe working environment and site safety at all times
  • Report any breaches of Health and Safety to the board as appropriate
  • Report all accidents and near misses in line with Health and Safety policy
 
Project Management / Repairs & Maintenance Management:
  • Retain an overview of significant maintenance works
  • Identify, arrange and coordinate estate improvement works with board approval
  • Liaise with external surveyors and contractors on technical issues or complex large-scale repairs
  • Ensure insurance claims are effectively administered
  • Liaise with maintenance team and contractors to ensure that repairs are undertaken within budgets
  • Conform, where required, to the appropriate statutory process (section 20 Notice) for the consultation of leaseholders on repairs
  • Monitor and review repair projects to ensure they meet agreed specifications
  • Liaise with the board and maintenance team on the appointment and management of contractors, to include supervision where appropriate, with specific reference to quality control
  • Check works carried out by such contractors on a regular basis
  • Report incidents of unsatisfactory work to the board
  • Ensure that site staff comply with the company’s key holding and contractor policies
  • Carry out regular performance evaluations of all contractors and keep records suitable for contract renewals and tender processes
 
Financial Management:
  • Assist the board in the review of ongoing service charge expenditure
  • Monthly financial reporting
  • Ensuring maintenance works are carried out in line with budget
  • Ability to understand and interpret year end accounts, including but not limited to profit and loss/ balance sheet
 
Record Keeping:
  • Provide and maintain an up to date log book and associated registers, recording all site issues as they arise
  • Key holding and contractor access
  • Record of site patrols and any issues arising from each patrol
  • Health and safety compliance, including monthly compliance checks, lift tests, fire alarm tests, emergency light tests and incident reports
  • Report and action all breaches of security or damage to the relevant bodies
 
 
To carry out any additional tasks as appropriate with direction from the board
