As the Head of Lettings, you will lead a team in growing and scaling the Lettings portfolio, with overall responsibility for the department and working as a Head of Department alongside other senior managers. Development and implementation of all lettings-related strategies and processes across the organisation. Responsible for the end to end management of all residential lettings activities across the business.
 
Responsible for data analysis and reporting on lettings activities; setting department and individual team members objectives and targets, in line with the wider company plan and ensuring they are met. Effectively leading the lettings function, responsible for ensuring team, processes and services proactively support and champion relationships with customers and stakeholders.
 
Duties will also include:
 
  • Undertaking lettings valuations of properties to achieve a high conversion rate in bringing new landlords and units on to the market.
  • To manage complex rentals and resolve customer issues satisfactorily, generating new letting opportunities through word of mouth having received a great customer experience.
  • Maintaining a strong relationship with all landlords to help acquire future business with them and creating goodwill with tenants in creating a positive rental experience.
  • Dealing with enquiries from applicants on a daily basis including walk ins, telephone and email queries.
  • Maintaining systems and processes to enhance efficiencies within the department.
  • Dealing with applicant viewings and organising property viewings.
  • Arranging inventory check in and out reports.
  • Contributing to any marketing ideas/campaigns in building the lettings brand and promoting new and existing services to clients and customers.
  • Ensuring staff are effectively updating all rental properties and any new instructions are advertised promptly and effectively to reduce void periods.
  • Daily liaison with tenants, landlords and contractors dealing with questions, problems and establishing solutions.
  • Being aware of competitor performance and activity and keeping up to date with any new regulations/laws that are brought into the Lettings industry and ensuring all staff are kept up to date.
  • Development of the lettings portfolio and active in the growth of the portfolio of let and managed properties.
  • To work alongside the Lettings team in delivering to agreed sales targets and financial thresholds.
  • To network locally with all potential clients (developers, vendors, purchasers, solicitors, landlords, tenants, residents and local business contacts) establishing and driving new business opportunities.
  • To develop relationships with the local community, businesses and associations in order to develop sustainable links and lettings leads.
  • Carrying out property inspections and producing electronic inspection reports.
  • Initiating appropriate actions arising from inspections, ensuring tenant, contractor, landlord compliance with statutory and contractual obligations.
  • Providing property management advice to existing and potential clients.
  • Ensuring quotes for repairs/maintenance on behalf of landlords and overseeing works.
  • Maintaining and supporting the accurate record, allocation and movement of property keys. 
  • Operating and developing the Jupix system, maintaining customer records.
  • To seek opportunities to put customers in touch with other areas of the business to generate revenue and ensure a seamless customer experience.
  • To introduce and explain the full service portfolio offered, ensuring that property, client, applicant, tenant, tenancy details are always up-to-date and accurate.
  • Producing rental particulars, taking and downloading photographs in developing marketing materials through relevant databases.
  • Supporting advertising processes in generating brand and property awareness.
  • Arranging for lettings boards to be erected.
 
To provide excellent customer service to all who come into contact with the firm through its various activities in the property market; to represent the firm in an honest and loyal fashion, complying with the RICS Rules and ARLA best practice guidance.
 
Role Requirements:
 
  • 3+ years industry knowledge in a lettings and management role preferred.
  • ARLA qualification is essential.
  • Highly motivated with the ability to achieve commission and exceed targets.
  • Personable, presentable and articulate and an ability to deal calmly and effectively in a competitive market - able to act as an ambassador.
  • Experience in developing a landlord portfolio.
  • Driving licence essential.
 
Salary & Package:
 
£30K - £40K per annum based on skills, knowledge and experience. Commission scheme based on department performance. £4,500.00 car allowance per annum plus private car parking space, mobile phone and equipment.
