We are working with a managing agent based in Croydon, who due to professional growth are looking for a Head of Service Charge to join their team in their office in South East London. Our client prides themselves on maintaining and establishing new client relationships throughout the industry and supporting their local business in growth and development.
Key Responsibilities:
Preparing the nominal transfer for both property management and purchase ledger modules to enable CMS bank movements then uploading to NatWest
Reconciling the main bank account and investigating outstanding entries of more than three months old. Helping colleagues where incorrect movements have been made and giving support and guidance where necessary
Preparing quarterly RICS Global Reconciliations, liaising with colleagues where imbalances have occurred and aiding in amending same
Preparing quarterly Client Rent Statements, collating invoices, and checking same against entries. Submitting to Property Managers for approval. Sending to clients and making BACS/cheque payments
Sending ‘on account’ payments to clients bimonthly and ad hoc
Sending quarterly VAT statements to Accountants where applicable and settling with HMRC
Setting up new Clients/Properties/Units/Tenants/Charges/Periodicity of rents
Updating tenants with rent reviews and lease information. Updating tenant charges with rent increases. Actioning lease assignments, tenancy terminations and creating new tenancies
Sending demands at the appropriate times
To be able to manage block management accounts from start to finish i.e.
Loading the yearly budgets and demanding same
Charging out cash calls when advised during the service charge year
Balancing the client statement to the general ledger and bank and flagging timing differences and incorrect postings. Collating year end service charge accounts and sending to the appropriate Property Manager for approval. Executing pre-payments/accruals where necessary and adjustments where applicable
Submitting to the Accountants for them to prepare the Accountants Report
Making final adjustments and again obtaining approval from the PM to finalize on QUBE. Raising year end credits/debits, producing the Year End Report and demands to be sent to the tenants. Advancing the year.
Dealing with telephone/email queries and keeping them current. Using the electronic filing system that Hindwoods have in place. Keeping work sheets re: progress of service charges
Taking card payments over the phone
Minimum Requirements:
Competent in using the QUBE/MRI Property Management software
3 years Service Charges / Accounts experience
Excellent customer service, IT and communication skills
A full UK driving license and your own vehicle
Desirable Requirements:
Industry related qualifications such as IRPM / RICS / IOSH
Knowledge of Landlord & Tenant Act 1985, Commonhold and Leasehold Reform Act 2002, Health and Safety at Work etc. Act 1974 and The Work at Height Regulations 2005
Salary Range & Benefits:
This position is paying a competitive salary of £30K - £50K depending on experience.
