The chance to join our ever-growing team has arisen and as such, we’re looking for a Legal Administrator to join our team.
 
Joining our newly established in-house Legal Team you will be an experienced Legal Administrator with knowledge or and an interest in the legal industry. Duties will include:  
 
  • Primarily to administer the provision of Company Secretarial services
  • To support the Solicitors Enquiries team
  • To provide ad hoc administration support to the Head of Legal
  • Maintaining the Register of Shareholders via Inform Direct and issuing new Share Certificates, ensuring that the correct completion documents are received to enable the transfer of Shares.
  • Maintaining the Register of Members on our system and issuing new Membership Certificates where required, ensuring that the correct completion documents are received to enable the transfer of membership.
  • Maintaining Directors, Secretary and PSC (Person of Significant Control) Registers.
  • Filing Annual Confirmation Statements for Companies House via Inform Direct.
  • Appointment and Resignation of Directors/Company Secretary for Companies House along with amendments required to registered details of Management Companies.
  • Dissolving Companies where applicable/required.
  • Issuing Certificates of Compliances for Land Registry on behalf of Management Companies where required, ensuring that the correct completion documents are received and that the provisions detailed within the Title Register restrictions have been complied with.
  • Filing of any relevant Special Resolutions at Companies House for Management Companies.
  • To complete Company Secretary billing.
  • To carry out other Company Secretary related activities as and when required.
  • To deal with all aspects of sales enquiries received in the first instance from Solicitors and Leaseholders alike via email, telephone and post.
  • To issue Sales Packs within the designated timescale given.
  • Liaise with both Solicitors and Leaseholders in respect of any additional enquiries raised as and when they arise.
  • To process all completion paperwork received i.e. Notices of Transfer/Charge, Deeds of Covenants, Share/Membership documentation.
  • Raising apportionment enquiries in relation to outstanding Service Charge account balances direct with Solicitors dealing via email.
  • Issuing of Certificates of Compliance for Land Registry along with enquiries raised via requisitions.    
  • Issuing of Share/Membership Certificates.
  • Issuing of Welcome Letters and Statements of Accounts.
  • Maintaining client records held on BOSS i.e Landlord/Client/Leaseholders names and addresses.
  • Downloading Leases/Transfers from Land Registry along with conducting Map Searches.
 
Minimum Requirements:
 
  • Experience in a Legal Admin based role.
