Lettings Negotiator - West London

We are a professional and fun team of 25 with offices based in Ealing and the West End. We are ideally located for grabbing a quick retail experience or lunch with a friend, we love the energy that working in central London brings, it gives you that buzz. Our offices are modern and open plan, on a typical day it is very vibrant with office banter going on and times where people are focused and getting on with their work. We know when it’s time to get the job done and when we need to lighten the day with a good laugh amongst colleagues.
 
We are a close-knit team; we all collaborate working across departments giving you the exposure to our wider real estate business. We have 0% office politics, we are an easy going, relaxed, comfortable office, all working to the same goals in harmony. You can often find colleagues standing next to our glass front fridges, grabbing a cold drink or sweets supplied by the company, discussing ideas, we love people who want to learn and come with ideas to share.

Key Responsibilities:
 
  • That all properties are let and that all agents and all colleagues have an up-to-date list of available properties.
  • That applicants can pay deposits, secure funds, pass references, and provide required documents within the required timeframes.
  • That all right to rent checks are carried out and that lettings comply with current legislation
  • That applicants and Agents are accompanied on inspections.
  • That the best possible terms are negotiated on the client’s behalf whilst ensuring that negotiations have a positive outcome for all parties.
  • That tenancy agreements are drafted, agreed, and signed
  • That the process of the letting is managed efficiently to an effective conclusion and all parties are kept informed of progress.
  • That positive working relationships are developed with all parties to generate potential new business.
  • That all check-ins and check-outs are carried out professionally and that the management team/contractors are informed of check-ins and check-outs well in advance
  • That tenant, deposit, and tenancy information is given to the management team promptly for processing
  • That all the required legislative information and safety certificates are provided to tenant and landlord and filed appropriately.
  • That all tenancy agreements are complete and correct and given to the management team
  • That the management team are made aware of any changes and amendments to tenancy agreements.
  • That comprehensive tenant contact information is received when tenants sign up for tenancy agreements
  • That tenants with any queries are promptly acknowledged and provided with appropriate replies.
  • That all outstanding invoices from letting agents are chased and received promptly
  • That the management team is informed of arrears chasing and actions taken – keep Qube up to date
  • That tenants in arrears are served with the relevant notices promptly
  • That court applications are made as soon as the notices expire to minimise the amount of arrears and updated on MONDAY.
  • That court hearings are attended, and bailiffs instructed as per court orders
  • That all housing benefit/UC/DHP applications are made by the tenants and that they are given all assistance necessary to ensure no rent arrears.
  • That the council is constantly being chased for outstanding rent/applications
  • That all general incoming calls are answered to the required standard.
  • Process HMO applications and update MONDAY board with progress
  • Appraise new properties coming on the market, in time for new marketing and communicate any repairs or maintenance to the landlord.
  • Ensure MONDAY is constantly updated with potential tenant contact details and viewings confirmation.
  • Arrange new keys to be cut when needed.
  • Inspect properties when required.
  • Ensure accurate meter readings are taken and recorded.

Minimum Requirements:
 
  • Previous administration experience
 
Desirable Requirements:
 
  • Previous property admin experience
  • Industry related qualifications such as IRPM / RICS / IOSH
  • Landlord & Tenant Act 1985
  • Commonhold and Leasehold Reform Act 2002
  • Health and Safety at Work etc. Act 1974
  • The Work at Height Regulations 2005

Salary Range & Benefits
 
This position is paying a competitive salary of £20K - £25K depending on experience.
