Property Administrator - Hampshire

I'm currently working with a friendly, social, and supportive Estate Agency based in Winchester who're on the hunt for a competent Administrator to assist their team. Key Responsibilities:
  • Mailings – be able to format and merge letters/emails for correspondence sent out to leaseholders.
  • Invoicing for Service Charges and Estate Charges – Set up the invoices on accounting system, print, add statutory notes, email/post to the leaseholders.
  • Supplier invoices processing – Post invoices onto the accounting system and send them for payment.
  • Uploading budgets on accounting software – Budgets that are sent need to be uploaded so the PM can track spending.
  • Taking phone calls – Taking calls from leaseholders and either transferring to relevant Property Manager or assisting them personally where possible. Where an issue with the property is reported, this is set up on our reporting software so that the Property Manager can organise a contractor/resolve the issue.
  • Card payment transactions – processing card payments over the phone.
  • Debt Collection - First, Finals, Send to Solicitors – After the invoicing (above), those leaseholders who do not pay their service charges or estate charges by the due date are then sent reminders in line with the arrears collection procedure.
  • Franking - Ensuring post is franked ready for collection.
  • Emails – organise and reply to emails within 3-5 working days.
  • Customer allocations – Reconciling bank payments onto accounting system.
  • New Owner Forms – update new owners onto our system.
  • GDPR – ensure all updating of records follows legislation.
Person Specification:
  • Good understanding of Residential Property Management
  • Well-developed interpersonal and communications skills
  • Interpersonal skills and customer focused
  • Strong organisation skills
  • Proficiency with Word and Excel reporting
  • Ability to work on own initiative
  • Good numerical skills
  • Diplomacy
  • Ability to prioritise workload and work under pressure
