One of these being their own internal training academy, a bespoke internal training academy designed specifically for us, aimed at providing our employees with the resources needed to develop and grow into Property Management superstars!
 
Due to increased expansion across the business, we are now looking to take on a new, customer focused, team-orientated Property Management Assistant to join the team in our head office in Harlow. Your role will be to provide support to our Property Managers to enable them to manage and maintain their portfolios in accordance with company and industry processes and regulation. Duties will include:
 
  • Contact all contractors and suppliers, to change account details and invoicing address and obtain public liability insurances.
  • Review site Project Lists with PM regularly to allocate work and keep up to date with issues on sites. Discuss outstanding items with PM’s daily & chase. View the full Projects lists weekly.
  • Receive all phone calls relating to sites and ensure post is sent out.
  • Keep all Key records up to date with full PM/Contractor/Office sets for all sites. Arrange for keys to be supplied to contractors for works as necessary. Control the sign out/in all contractor/office sets as necessary.
  • Deal with issues on payments of invoices, issues with WO’s.
  • Request and chase quotations from contractors as necessary. Report back to contractors (successful or not) with instruction from PM.
  • Update Warwick share files regularly with correspondence and documents (scanned also). Ensure all insurance documents are up to date and current.
  • Update BOSS regularly with full contractor list, general site information and insurance documents.
  • Meter readings from site visit reports to be provided to suppliers quarterly.
  • Locate and book venues for AGM’s, ask the PM if you are not sure. Call a few days prior to meeting to check the venue is still booked ok.
  • Write and send standard letters with regards to issues dealt with on a daily basis i.e. overflow pipes, leaks ,anti- social behaviour and car parking related enquiries. Request the input from PM on non- standard issues.
  • To carry out ad-hoc duties as instructed by PM.
  • Prepare handover report when sites move from PM to PM.
  • Upload Risk Management reports to Managed Assigned Tasks on BOSS, creating relevant Action Items where required.
  • Assist PM in managing BOSS health and safety requirements to include Action Items and Managed Assigned Tasks as directed by the PM.
 
Minimum Requirements:
 
  • Excellent customer service skills
  • Excellent administration skills
  • Excellent telephone manner
  • A strong team player with the willingness to lend a helping hand
  • A background in Property
 
Desirable Requirements:
 
  • Block Management experience
  • Industry related qualifications such as IRPM / RICS / IOSH
 
Salary Range & Benefits:
 
This position is paying a competitive salary of up to £20,000 plus an attractive benefits package.
